Terms of Service

By creating an account or using ClarityCaddie, you agree to these terms. If you do not agree, please do not use the service. ClarityCaddie is operated by the operator of ClarityCaddie (“we”, “us”, “our”).

The service

ClarityCaddie is a sports performance coaching tool that helps golfers organise swing thoughts, build pre-round routines, and track mental performance. Coaches use ClarityCaddie to support players between lessons.

We may update, modify, or discontinue features at any time. We will give reasonable notice for changes that materially affect your use of the service.

Your account

You are responsible for keeping your account credentials secure. You must not share your account with others or allow anyone else to access your account. If you believe your account has been compromised, contact us immediately at hello@claritycaddie.com.

Acceptable use

ClarityCaddie allows you to create and store content including swing thoughts, voice recordings, notes, and round data. You are responsible for all content you create.

You must not use ClarityCaddie to:

  • Create, store, or share content that is abusive, threatening, discriminatory, or illegal.
  • Upload objectionable content of any kind, including content that targets or harasses other users.
  • Attempt to access another user's account or data without authorisation.
  • Use the service in any way that violates applicable laws or regulations.
  • Reverse-engineer, decompile, or attempt to extract the source code of the application.

We reserve the right to suspend or terminate your account immediately and without notice if you violate this acceptable use policy. Content that violates these terms may be removed without prior warning.

Subscriptions and billing

ClarityCaddie offers free and paid subscription tiers. Payments are processed securely by third-party providers:

  • Player subscriptions are processed through Apple (App Store) or Google (Google Play). Refund requests for player subscriptions are handled by the respective app store under their refund policies.
  • Coach and academy subscriptions are processed through Stripe. Refund requests for coach subscriptions should be directed to hello@claritycaddie.com.

Subscriptions renew automatically at the end of each billing period unless cancelled. You can cancel at any time — you will retain access until the end of your current billing period.

Voice data and AI processing

ClarityCaddie uses AI to process voice recordings for content transcription only. We do not create, store, or analyse biometric voiceprints.

  • Raw audio recordings are deleted after processing, with a maximum retention of 24 hours.
  • Coaches see AI-generated text summaries only — never raw audio or unprocessed recordings.
  • You can withdraw your consent to voice processing at any time through the app settings. Withdrawing consent will disable voice capture features but will not affect other functionality.

Data ownership and coach visibility

Player data

You own your mental performance data. Your swing thoughts, voice recordings, notes, and round data belong to you. We do not claim ownership of your content.

Coach access

When you connect with a coach, they receive summary-level visibility into your activity — enough to support your coaching relationship. Coaches never see your raw audio recordings or private notes unless you explicitly choose to share them.

If you disconnect from a coach, their access to your data is revoked immediately. If you leave an academy, the academy retains anonymised audit logs only — no personal content.

Intellectual property

  • Player-generated content — swing thoughts, voice recordings, notes, and round data are owned by the player who created them.
  • Coach-built journeys — journeys and programmes created by coaches remain the intellectual property of the coach. ClarityCaddie holds a licence to deliver that content through the platform.
  • Aggregated analytics — ClarityCaddie retains the right to use anonymised, aggregated usage data to improve the product. This data cannot be traced back to any individual user.

Users under 18

Users under 18 may use ClarityCaddie with the consent of a parent or guardian. By creating an account for a minor, the parent or guardian agrees to these terms on their behalf.

  • Content and features are age-appropriate — ClarityCaddie is a sports performance tool with no social networking, messaging, or user-to-user communication features.
  • Coach access to minor accounts is subject to audit trails. Academies and coaches working with minors must comply with their own safeguarding obligations.

Data deletion and portability

You can request deletion of your account and all associated data at any time. To make a request, email hello@claritycaddie.com from the email address linked to your account. We will process deletion requests within 30 days.

Under GDPR, you have the right to request an export of your personal data in a portable format. Contact us to make a data export request.

Anonymised audit logs are retained for up to 7 years after account deletion for regulatory compliance purposes. These logs cannot be linked back to your identity.

Limitation of liability

ClarityCaddie is provided “as is” and “as available” without warranties of any kind, whether express or implied.

To the fullest extent permitted by law, the operator of ClarityCaddie shall not be liable for:

  • Physical injury, property damage, or any harm arising from use of the service during physical activity, including golf practice or play.
  • Sports performance outcomes, including but not limited to scores, handicap changes, or competitive results.
  • Loss of data, loss of revenue, or indirect, incidental, or consequential damages arising from your use of the service.

Use of ClarityCaddie during any physical activity is entirely at your own risk. Always follow local course rules and safety guidelines.

Sports performance disclaimer

ClarityCaddie is a sports performance coaching tool. It is not a medical device. It does not diagnose, treat, monitor, or prevent any medical or psychological condition.

The service supports mental performance, focus, and clarity in the context of golf. It is not a substitute for professional medical or psychological advice. If you are experiencing mental health difficulties, please consult a qualified healthcare professional.

Security

We take the security of your data seriously. All data is encrypted in transit and at rest. Access to production systems is restricted to authorised personnel. We are working toward SOC 2 Type 1 compliance, with a target of Q3 2026.

Governing law

These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of the service shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Changes to these terms

We may update these terms from time to time. If we make material changes, we will update the “Last updated” date at the top of this page and notify you by email. Continued use of ClarityCaddie after changes take effect constitutes acceptance of the revised terms.
